Attach the price to the invitation, not the invoice

The moment someone books a slot is the moment they are most motivated to move forward. That is the right moment to collect payment, not the moment the work is already done and the invoice has to compete with everything else in their inbox.

Make the cancellation policy part of the offer

A clear cancellation window, stated up front rather than added after a no-show, protects the time you have already reserved. Clients who see the policy before booking rarely object to it; it reads as professional, not punitive.

Automate the confirmation, not the collection

Once payment is what confirms the booking, the confirmation itself can be entirely automatic. This is the actual shift: not chasing payment faster, but removing the separate collection step altogether.

What to do about existing clients used to paying after

Introduce the change with a short, matter-of-fact note: future sessions will be booked and paid through a link, existing arrangements are unaffected. Most clients adapt quickly once the process is easier than the old one, not harder.
